Background and Problem
A successful dental practice was looking for a way to streamline the process of notifying patients of their upcoming appointments. The amount of time that office staff spent on notifying patients was costly and the process was inconsistent. A missed appointment is a costly event, therefore finding a solution to this issue would counter lost revenue and free up the hours of time office staff was spending handling this task.
Holmes Solution
An automated process of sending postcards was developed. A fun eye catching design template was created. The upcoming scheduled appointments were provided from the database. Holmes created a custom process whereby the postcards were produced and mailed out on a routine basis. The office staff knew the reminders would go out worry free.
Benefit and Outcome
Missed appointments dropped dramatically saving the practice lost revenue. Office staff were able to free up their time to work on other tasks. The doctor was also able to have a method to communicate with his patients on a regular basis. Pertinent information or important news was able to be incorporated to the content of the postcard making it more than just a vehicle for notification it also assisted in strengthening the relationship between the patient and the practice. Patient feedback was positive as they appreciated being reminded of the upcoming appointment consistently.
